Business automation

Business process automation that removes repetitive work

Business automation means letting software handle the repetitive steps people do by hand: sending reminders, copying data between tools, generating documents, updating statuses and chasing approvals. I build automation into your existing systems or as a small custom tool, using APIs, scheduled jobs and messaging channels such as WhatsApp and email.

Tasks worth automating

  • Sending payment, fee, appointment or renewal reminders by WhatsApp, SMS or email
  • Copying leads, orders or bookings from one tool into another
  • Generating invoices, receipts, reports or certificates from data you already have
  • Routing requests for approval and notifying people when it is their turn
  • Producing daily or weekly summaries that someone currently assembles by hand
  • Following up with leads or customers on a schedule

What's included

Process review

Map the manual steps, how often they happen and what goes wrong, to find the automations with the biggest return.

Notifications and reminders

Event-based and scheduled messages through WhatsApp Cloud API, email or SMS, with templates you can adjust.

Data synchronisation

Connections between forms, CRMs, spreadsheets, stores and databases so records stay consistent.

Document generation

PDF invoices, receipts, reports or letters created from your data and sent or stored automatically.

Approval workflows

Requests that move through the right people with status tracking, reminders and an audit trail.

Monitoring

Logs and alerts so you know when an automation fails instead of discovering it weeks later.

Automate the boring part, keep people in control

Good automation is narrow and dependable. I start with one high-volume, rule-based task, automate it end to end and measure the time it saves before moving to the next. Tasks that need judgement keep a person in the loop: the system prepares the work and the person approves it.

Where a no-code tool such as Zapier or Make already does the job well, I will recommend it. Custom automation is worth it when volume, data sensitivity, cost or complexity outgrow those tools, or when the automation needs to live inside your own application.

How the project runs

  1. Find the bottlenecksList repetitive tasks with their frequency, time cost and error rate.
  2. Choose the first automationPick a high-volume, rule-based task with clear inputs and outputs.
  3. BuildConnect the systems, write the rules and test with real but safe data.
  4. PilotRun alongside the manual process until the results match.
  5. ExpandMeasure the time saved, then automate the next task.

Technology choices

  • Node.jsIntegration services, scheduled jobs and business rules.
  • WhatsApp Cloud APIReminders, confirmations and two-way messaging in the channel customers already use.
  • PostgreSQLReliable storage of tasks, statuses and audit history.
  • LLM features where usefulClassifying, summarising or extracting from free text when rules alone are not enough.

What affects cost and timeline

  • Number of systems involved and the quality of their APIs
  • How many steps and exceptions the process has
  • Messaging volume and provider costs, such as WhatsApp conversation pricing
  • Need for human review, approvals and audit trails
  • Whether the automation lives in an existing application or a new tool

Every estimate starts from your requirements. Request a quote with your users, must-have features, timeline and budget range, and I will reply with questions and a suggested first phase.

Frequently asked questions

Why not just use Zapier or Make?

For simple, low-volume automations they are often the right choice. Custom automation makes sense when volume makes per-task pricing expensive, when sensitive data should stay in your systems, or when the logic is too complex for a visual tool.

Can you send automated WhatsApp messages?

Yes, through the official WhatsApp Cloud API with a verified business account. Business-initiated messages use templates approved by Meta, and pricing depends on message type and country.

What if an automation makes a mistake?

Automations are tested against real scenarios, log every action and alert someone on failure. Steps with financial or customer impact can require approval before they run.

Do we need to replace our current tools?

Usually not. Most automation connects the tools you already use through their APIs.

How do we measure whether it was worth it?

Before building, we estimate how often the task happens and how long it takes. After launch, the automation's logs show how many tasks it handled.
